Workshop Organization SOP
Goal: To make our workshops enjoyable and memorable for Guests.
This guide covers everything from setup to closing, ensuring a great experience
General Procedures:
Workshop Preparation (2 hours before start)
  • Confirm guest list and materials.
  • Prepare the workshop area.
  • Arrange tables, chairs, and materials.
  • Ensure everything is clean and ready.
  • Set up safety gear (gloves, aprons, etc.).
  • Check lighting and ventilation.
  • Provide enough seats and water bottles.
  • Brief the instructor on guest list and workshop steps.
Guest Greeting (10 minutes before start)
  • Welcome guests warmly and with a smile. If possible, call them by name.
  • Mark off each guest on the registration list.
  • Briefly explain what guests can expect.
Workshop Introduction (First 5–10 minutes)
  • The instructor introduces themselves and explains what guests will learn or create.
  • Review safety guidelines (handling hot wax in candle making).
  • Explain any key materials or equipment used.
Main Workshop Activity (Duration: 60–90 minutes)
  • Demonstrate the steps and guide guests through them.
  • Walk around the room to help guests and answer questions.
  • Keep the atmosphere fun and exciting.
Workshop Conclusion (Last 10–15 minutes)
  • Invite guests to show off what they’ve created and give positive feedback.
  • Thank guests for participating and share final tips.
  • Mention other workshops if they’re interested.
  • Distribute souvenirs or finished products.
Post-Workshop Wrap-Up
  • Make sure guests have all their belongings.
  • Clear and sanitize the area.
  • Ask guests for feedback on the experience.
Event Documentation
  • Update the Google Sheet with attendance, issues, and feedback.
  • Record materials used and update inventory.
  • Ensure each guest feels welcomed, engaged, and supported.
  • Maintain immaculate workshop areas and materials.
  • Follow safety protocols, ensuring guest safety.
  • Be present and attentive, ready to assist guests.
  • Contact resort medical assistance in case of a medical emergency.
  • Prepare a backup location for outdoor workshops.
  • Conduct monthly reviews of feedback and adjust workshops based on guest preferences.
